Herding Cats with Trello

Here is an organizational app perfect for managing committee work, clubs, student group projects, scheduling department resources, to-do lists, herding cats, and much, much more

Currently the science department uses Trello to schedule, organize, and communicate about labs. Gen Greene kindly agreed to share a quick reflection on their department's use of Trello. 

Why We Use Trello

With the creation of the Lab Coordinator position for the 2013-2014 school year we needed to find a system where individual teachers could make requests for lab setups that didn’t involve multiple emails, would allow other teachers on a team to see what was scheduled, and allow the lab coordinator to manage workflow. 

How We Use Trello

In any given week there are multiple labs that need to be set up and cleaned up, all requiring different equipment, acquisition of materials, and preparation of supplies. Trello has allowed us to have one location where all teachers can go to make requests, post lab handouts and make checklists. On each team (Biology, Chemistry, Environmental Science, and AP classes) there is one teacher who is in charge of posting all requests on Trello at least one week in advance, including a lab handout. The lab coordinator can then look at the lab handout to compile a checklist of tasks/items that need to be purchased and prepped prior to the lab being set up.  

If the lab coordinator has questions, instead of emailing the teacher a comment can be posted on Trello and a notification email is sent to the teacher.  When the teacher responds the comment is posted on Trello so there is a continuous record of communication. Cards can be archived and recalled again in future years so if there are changes to the lab or notes that would be helpful to have, these are all stored on the card and available for future reference.

The checklists that are on the Trello card can be printed out and used by TAs to complete tasks like getting materials out. In the event that the lab coordinator is off campus and a TA is looking for work to do, a teacher can look on Trello to see what work needs to be completed.

Limitations of Trello

Currently, adding work requests to Trello requires an additional step by teachers because they have to look at their class calendars and then create a card on Trello. Ideally, there would be a way in Google Calendar to send an activity to Trello and a card created automatically. This would help when lab dates change because as it stands now the teacher needs to go into Trello and modify the due date, which often doesn’t happen.

Need a Class Roster with Student emails?

Accessing a current class roster complete with student emails is extremely valuable! This roster is useful for creating class accounts, sharing anything Google (folders, forms, calendars, docs etc.) collaborating on a blog, or simply emailing your students. 

This hidden gem of a list is located within "Grades" option on your myMitty page. Last year, Kendra Olsen outlined these directions but since this is such an amazing feature I am updating her work with images from myMitty version 2.

1. Login to

2. Click on GRADES

3. Click on EXPORT


5. Scroll to the bottom of the page and click SELECT ALL/NONE--this will unselect all your assignments.

6. Click SUBMIT

7. A preview of your student roster appears

8. Under Export click DOWNLOAD

8. The file will go to your download folder. It will be titled your class - your name Grades.xlsx

9. Highlight all the emails and copy them.

10. Share away! Create a class contact list or share your homework calendar, documents, survey forms, add students to your class Blogger site, or share a class folder.

1. Select Contacts under Mail then create a New Group

2. Name your group then open the contact list

3. Under the + icon paste all student emails and then click ADD

4. Share Google files or email the entire class with the group contact name.

Actively Learn: Teaching with Digital Text

During our next Technology inservice day, Spectrum will present a digital reading platform called "Actively Learn." This site serves as both a reader and virtual classroom.

This web tool provides the ability to embed questions, notes, videos, documents, and links directly into digital text. They have a library that is full of free books, articles, book rentals, and pre-made assignments. Teachers can also upload their own material and convert web articles into a book format.  

While reading, students can annotate the text, receive immediate feedback from quizzes, track time spent reading, and engage in discussions.  Meanwhile, the teacher can track both classroom and individual students performance. Diagnostic reports provide information such as how long the student read, how far they have progressed in the text, and additional performance measures. Several member of Spectrum are piloting Actively Learn and plan to offer a workshop during our inservice day in March. In the meantime, we have a free PRO trial account until March 31 and would love to have a few early adopters join us. Let us know if you are interested and what text you want your class to read.
